Privacy Policy – PFS App

This Privacy Policy explains how Peak Flow Solutions ("PFS," "we," "us") collects, uses, protects, and deletes information when a client authorizes our application, PFS App (the "App"), to connect to its QuickBooks Online company. The App is a private tool used only by PFS. Its sole purpose is to move accounting data that PFS has prepared for a client, using AI-assisted tools including Claude by Anthropic, into that client's QuickBooks Online company, and to read back the records needed to match and verify that data. It is not offered to the general public.

1. Information we access

When an authorized user of your company connects the App to QuickBooks Online through Intuit's secure sign-in, we may access the accounting data that the connection permits, including:

  • Company information such as the company name and QuickBooks company ID;
  • List data such as the chart of accounts, customers, vendors, products and services, classes, locations, terms, and tax settings;
  • Transaction data such as invoices, credit memos, payments, deposits, bills, vendor credits, bill payments, expenses, transfers, and journal entries; and
  • Report data such as trial balances and aging reports used to reconcile our work.

We also store the authorization tokens Intuit issues for the connection. We do not collect QuickBooks passwords; sign-in happens directly with Intuit.

2. How we use information

We use this information only to perform the services you engaged us for, such as loading, updating, or reconciling accounting records in your QuickBooks Online company, comparing them against source systems, and preparing reconciliation and exception reports for your review. We do not sell your information, use it for advertising or marketing, or combine it with other clients' data.

3. How we share information

We do not share your information with third parties except:

  • With your authorized personnel and advisors (for example, your accountant or CPA) involved in the engagement;
  • With service providers that help us perform the work, including Anthropic (the provider of the Claude AI tools we use to prepare and check data), cloud hosting, and secure file storage. These providers process data on our behalf under their business terms and confidentiality obligations; or
  • When required by law, regulation, or valid legal process.

4. Security

All communication with QuickBooks Online uses encrypted (HTTPS/TLS) connections. Authorization tokens and client data are stored in access-restricted locations available only to PFS personnel working on your engagement. We never ask clients to send QuickBooks passwords, and we request only the access needed to perform the engagement.

5. Retention and deletion

We keep QuickBooks data and authorization tokens only for as long as needed to complete the engagement and any agreed support period. Within 90 days after the engagement ends, or sooner at your written request, we revoke the connection and delete the tokens and working copies of your data, except records we are required to keep by law or that you ask us to retain.

6. Disconnecting the App

You can disconnect the App at any time. In QuickBooks Online, go to the Apps area and open your connected apps, find PFS App, and choose Disconnect. You can also email us and we will revoke the connection. Once the App is disconnected, it can no longer access your company.

7. Your choices

You may ask us what data we hold about your company, ask us to correct it, or ask us to delete it by contacting us at the address below. We will respond within a reasonable time.

8. Children's privacy

The App is a business tool and is not directed to, or intended for use by, children.

9. Changes to this policy

We may update this Privacy Policy from time to time. Changes take effect when posted on this page, and we will notify active clients of material changes.
